Legal Policy & PDF Document Management

The Medzit NexHealth HMS platform provides Super Administrators with a centralized management interface to create, update, deactivate, and dynamically publish legal policies (such as Privacy Policies and Terms & Conditions) with PDF document attachments.

Key Features

1. PDF Document Attachment:

   • Support for direct PDF file uploads (pdf_file) stored on secure storage disk.
   • Auto-generated public access URLs (pdf_file_url) served via optimized proxy endpoints.

2. Strict Single-Active Enforcement:

   • Activating a new version of a policy automatically deactivates prior versions of the same type.
   • Prevents version ambiguity and ensures patients and staff always review the authoritative active agreement.

3. Strict Deactivation Behavior (Option 1):

   • When an administrator deactivates all policy versions of a given type, public public endpoints (/api/backend/privacy-policy & /api/backend/terms-conditions) return a 404 Inactive response.
   • Public web applications display an intuitive "Policy Under Review" notice banner until an active version is republished.

Admin Workflow

1. Navigate to Super Admin Settings → Policies (/super-admin/settings/policies).
2. Click Create Policy or Edit.
3. Select Policy Type (Privacy Policy or Terms & Conditions).
4. Enter Title and Version.
5. Upload the PDF Document attachment.
6. Toggle Activate Policy to make the version live immediately.
